If you open a Microsoft Word document from a Centerbase mapped WebDav drive and attempt to use the CB Save button, you will receive the error shown below. This is a built-in protection and this article will discuss the two methods of editing Word documents, as well as the pros and cons of each method.
While you can open Word documents both from the mapped drive and the Word Add-in, the two methods are very different and not compatible. You must choose one method, and we highly recommend using the Word Add-in.
Method 1 - Using the mapped drive to open/edit Word Docs
- Open the Word document directly from the mapped drive by double-clicking, or navigate from Word and then open to the mapped drive.
- Your options for saving are limited to the Word save functions, meaning:
- You can only save the document back to Centerbase using the Word "Save" or "Save As" options.
- You will be prevented from using the Centerbase Word add-in. This is by design to prevent circular errors because first, the Word Add-in saves locally, then uploads those changes. However, the local copy you are working on is actually already in Centerbase. This is where the issue arises; we advise against this.
Method 2 - Use the Word Add-in to save Word Docs
- You may open the Word document using any method below:
- Use the CB Open button from the Word Add-in.
- From inside Centerbase, from either the File Explorer on the matter or another item form, by double-clicking, or right-clicking Download.
- From inside Centerbase, from the Documents tab, (if you have it set to show in your settings.)
- From inside Centerbase, from the document profile card, by using green button, then selecting Open.
- From inside Centerbase, from the documents navigation on the left side, selecting the document, using the green button, and selecting Open.
- To Save in Word:
- Use CB Save to save back to Centerbase after making changes.
- This will overwrite the copy downloaded, and will only give an error if there was an issue saving back to Centerbase.
- Use CB Save as to save to a new location or add a revision.
- Adding a revision allows you to keep the same filename/location and simply assign a revision number to the document. This may help you keep track of these issues.
- Use CB Save to save back to Centerbase after making changes.
