Problem/Issue:
You are wanting to setup email addresses for invoicing and to send the Bills to the Client via email. Users can send a live link of the Client’s bill using Centerbase’s mail merge functionality.
Prerequisites:
Setting Up Client Emails for Billing:
To expedite the sending of bills via email, users may set up the default recipient address(es) on the Client or Matter level under the Billing Tab.
Defining the Recipients section will auto-populate the To line in the email dialogue. This text-box supports multiple recipients separated by semi-colon or line break.
Email addresses may be entered as email only (JohnDoe@centerbase.com) or name and email (John Doe <JohnDoe@centerbase.com>).
First, Navigate to the Billing Section of the Client or Matter.
Second, Press edit in the top right of the Billing section
Third, Navigate to the Email Bill Settings. (Note you can do this on the Client or Matter. If You set it up on the Contact, Make sure your Matter has the 'Use Client Settings' checked.)
Finally, Enter your recipients as shown above and press save in the top right of the screen.
Now you are ready to Email the Bill to the Client.
Sending out Bills to Client via Email:
Navigate to the bills grid, right click on the bill to be emailed and select Email. This action may also be completed from the bill record by clicking the Bill Actions button, then Email.
If the user selects multiple bills from the bill grid, right-clicks then Email, the same dialogue will appear with Multiple Recipients in the To line. Upon sending the email, Centerbase will complete individual mail merges for each record.
The From line is defined in the User Settings (or the System Settings if administrator). This is the address that the recipient will see and respond to. Users may also set up an HTML signature line for any email sent from Centerbase (found in the user settings). It is important to note that emailing out of Centerbase will not put the email in the firms outbox (i.e. Outlook).
If the client receives their bill via Centerbase email using a live web link (as described above) then they will be able to see any changes and updates (payments, credits, adjustments, etc.) as they happen. If enabled, they will also be able to pay their bill using Stripe or LawPay online credit card processing.
