It's possible that the client on a matter will need to be changed. There are many considerations and for a list of what it can affect can be found here: Changing a Client on a Matter – Centerbase.
Note: This is currently only published internally since it was tested in a controlled environment and no feedback has been received from the customers that it has been suggested to.
The Process
This list covers the basic steps of making the change.
- Reverse any payments that have been deposited, as payments with deposits cannot be edited. If a payment has been deposited, but the deposit hasn't been reconciled, it's possible to remove the payment from the deposit, but make sure to add it back after the process is complete.
- Change client on the matter.
- Unpost each bill, starting at the newest.
- Mass edit client on Bills.
- Mass edit client on Payments and payment reversals.
- Post bills, uncheck to show payments and payment reversals, do not auto-apply trust or other payments.
- Add payments, making sure to pay from the accounts that the reversals were sent to (use reversals for reference) so as to keep the books correct.
- Remove old contact from Contacts list under Contacts tab or Related Items.
