What is it?
- Integration of LawToolBox 365, LawToolBox’s new product that leverages the Microsoft 365 ecosystem to allow firms to calendar deadlines relating to various court rules (”docketing”).
- This integration allows user to send Centerbase Matters to LawToolBox 365 for creation, and to view those matters in LawToolBox from within Centerbase’s matter view. Deadlines created by the LawToolBox 365 product are created in Outlook and will sync back to Centerbase’s calendar via the Outlook sync, provided that sync is enabled.
Requirements
- Permissions Required: Access LawToolBox, Access LawToolBox Hybrid
- Login: User must log in via Microsoft Entra (i.e. click the Microsoft button to log in)
- Outlook365 (recommended): In order for LawToolBox events to sync to the Centerbase calendar, the Outlook 365 sync must be enabled.
- Without this sync, the events created by LawToolBox will still be visible in Microsoft Outlook.
- Events created in Outlook before the sync is turned on will not be synced to Centerbase, so it is recommended that all users turn on the Office 365 sync before turning on the LawToolBox 365 integration.
Send Matters to LawToolBox in Bulk
- Admin users have the ability to send all matters to LawToolBox for bulk creation. This is most useful at the time of onboarding to LawToolBox 365, but firms can also do this as part of a routine workflow.
- To do this, admin user navigates to System Settings > LawToolBox and clicks the “Start Onboarding” button.
- This will only send matters marked as “Active” to LawToolBox.
- A confirmation message will notify the user when the onboarding is complete.
Sending a single Matter to LawToolBox
- To send an individual matter to LawToolBox, navigate to the matter, click “Matter Actions” and select “Send Matter to LawToolBox”.
- User will receive confirmation when the matter creation is successful.
- An error will be thrown for Centerbase Document Management users if a SharePoint site has not yet been created for the matter. If user runs into this error, they should navigate to the matter’s “Doc Management” tab to manually trigger the site creation.
Creating Deadlines in LawToolBox
- Once a matter has been sent to LawToolBox 365, the LawToolBox UI will be visible in the matter’s “LawToolBox” tab.
- Click “Calculate” to begin calculating deadlines.
- The “Deadline” screen will come up, allowing the user to select State, Ruleset, Trigger Event and Trigger Date. Once these selections have been made, click “Next” to proceed.
- The list of events will populate, allowing the user to select/deselect which events they want to keep in their list of events. They can select the three-dot menu to make some customization to each event.
- Click “Sync” and select “Add Selected” to send the list of events to Outlook.
- LawToolBox 365 syncs events to Outlook only. If the user has their Office 365 sync turned on in Centerbase, events will then sync from Outlook to the Centerbase calendar. Users can turn on the sync by navigating to Settings > Office 365 and click the Office 365 “Connect” button.
FAQ
Q: Who creates the SharePoint group used by LawToolBox 365?
A: If a firm is using Centerbase Document Management, and having one SharePoint site created per matter, LawToolBox 365 will use the SharePoint group created by Centerbase Document Management. Otherwise, LawToolBox will create the SharePoint group. Please note that this configuration is done on the LawToolBox during their customer onboarding.
Q: Why am I getting this error when I try to sync my deadlines to my calendar?
A: This error may occur when the user attempts to sync deadlines to an Outlook calendar shortly after the matter and/or SharePoint was created. SharePoint sites can take up to an hour to be fully spun up, and users will need to wait until that is done before they’ll be able to sync deadlines.
