General Ledger Budgeting allows users to set and edit multiple budgets for their database.
Adding GL Budgets to Navigation Bar
Budgeting can be accessed by navigating to the Budgeting option on the Navbar. If it has not been enabled, you can enable it in System Settings under 'Navigation Bar'. Add 'GL Budgets' by selecting it from the 'Action Button' drop-down box, as seen in this screenshot:
Once GL Budgets are added to your navigation bar, you will be able to browse to it there, wherever you put it:
Accessing GL Budgets
Opening the GL Budget will take you to the Budget homepage, which displays a list of previously created budgets.
Clicking the 'Create New' button opens a dialog that lets the user choose which fiscal year and interval the new budget should be created for.
The Actions dropdown on existing budgets allows you to either run the Budget Vs Actual report (the default), Edit, or Delete existing budgets.
Creating New Budget
The budget grid allows the user to enter budget values for different intervals. The Pre-fill dropdown has several different years to choose from which will pre-fill the budget with actual values from that year.
Editing Existing Budget
Once the budget has been created and saved, the fields at the top don't appear again. The name and the amounts of each line item can still be edited and saved though.
Running the Budget Vs Actual Report
After the budget has been created, the user can run the Budget Vs Actual Report for any given date interval.
In the report, the Date Interval, Budgets, and Group by account segment settings can be changed.
Expand All checkbox will allow togging between showing all groups expanded or collapsed. The other options will require you to run the report again after making changes to those settings.
A brief explanation of those options:
- The Show Only Totals filter displays only the last column, which is the totals column.
- The Only non-zero rows filter displays only accounts with non-zero Actual or Budget Values.
- The Only accounts with budgeted amounts filter displays only accounts with budgets greater than zero.
