Occasionally, firms will ask to have a description field they can fill out that will get pulled onto all LEDES bills. This article goes over how to create the field and ensure it gets pulled on the LEDES file download.
Setting up the Field
First, create a Text-type field from the Admin Tool (download available here) for the Matters Item Type.
Adding the Field to the LEDES Template
Once the field has been created, go to the Form Design for Matters and add the new field somewhere.
Once the Form Design is saved, go to a random Matter, right-click on the newly added field, and click Inspect.
Make note of what number shows next to "fieldvalue"; that will be important later.
Next, go into the System Settings > Electronic Billing > Templates and select the template to edit.
Find the INVOICE_DESCRIPTION key, and replace the number in between <FieldID> and </FieldID> with the number from the field earlier. For example, if the field in the screenshot above were being added, the number would be 1001:1001357,30:1000151 (The number after the comma is used for chaining, and makes sure the correct Item can be reached).
Once that's added, make sure to select Save to save the template.
Testing the New Field
Fill out the field on the Matter, select a random Bill, and hover over e-Billing File in the Bill Actions menu and select the template to generate a LEDES file.
A tab may pop open mentioning errors; if that's the case, select the Download As-Is button to download the file. Otherwise, open the downloaded file.
